The reporting system for your volunteer program

Turn volunteer hours into the reports leadership keeps asking for.

VolunteerLedger helps hospice teams track volunteer hours, mileage, service areas, and recognition milestones — without forcing volunteer data into your EMR or managing another spreadsheet.

  • No credit card
  • Hospice & community
  • CSV import/export

The problem

Your volunteer hours are already happening. The reporting just takes too long.

Volunteers show up and serve every week — but turning those hours into the summaries the board, the grant, and the recognition banquet keep asking for is the part that eats your time.

Hours live everywhere

Paper logs, emails, spreadsheets, and a coordinator's notes — every separate place a volunteer hour lands becomes cleanup work later when someone needs a total.

Reports are always needed

Board summaries, audits, recognition lists, and service-area totals get requested again and again — and each one means rebuilding the same numbers from scratch.

Spreadsheets don't scale

One missed formula, a duplicate entry, or a forgotten milestone throws off the whole picture — and the program quietly comes to depend on the one person who knows the file.

How it works

One simple system for hours, volunteers, areas, and reports.

The same hours flow straight through from entry to a finished report — no rekeying, no rebuilding, no spreadsheet to comb.

1 · Add volunteers

Build your roster by hand or import it from a CSV — your existing spreadsheet comes with you.

2 · Log hours

Enter time in / time out (or just the total), with optional mileage and the service area — fast, even on a phone.

3 · Review activity

See active volunteers, hours over time, and who's approaching a milestone — all on one dashboard.

4 · Generate reports

Run board, grant, and recognition reports in seconds — print-ready and exportable for any date range.

Where it fits

Your EMR handles patient care. VolunteerLedger handles the volunteer program.

Patient-care volunteering belongs in your EMR. The rest of your volunteer program — the part that ends up in spreadsheets — belongs here.

Your EMR keeps doing this

  • Patient records
  • Clinical documentation
  • Care plans
  • Compliance workflows

VolunteerLedger handles the rest

  • Volunteer hours
  • Mileage
  • Service areas
  • Rosters
  • Recognition
  • Board-ready reports

No patient names, medical details, or protected health information required. There are no patient fields, no visit links, and a visible "never enter patient information" reminder on every free-text field. Keep patient care details in your EMR; VolunteerLedger handles volunteer hours, service areas, reporting, and recognition.

What you can do

Built around the work volunteer coordinators actually do.

Built for volunteer coordinators — no IT project, no EMR customization, no complex setup.

Track hours & mileage

Log time in / time out or a flat total, with optional mileage on every entry — fast even from a phone.

Import CSVs

Bring volunteers and past hours over from your spreadsheet with a guided template — running the same day.

Manage service areas

Configure your own areas — pet therapy, auxiliary, veteran outreach — and tag every hour to the right one.

Generate board reports

Run print-ready, exportable summaries by date range and service area — the figures leadership keeps asking for.

Recognize milestones

Set your hour and years-of-service tiers once; the app tracks who's crossed each one for your banquet list.

Export your data

Everything exports back out to CSV any time — your agency owns its records and they're never locked in.

Never miss a volunteer milestone again.

Track lifetime hours, years of service, and recognition milestones automatically, so appreciation doesn't depend on someone remembering to check a spreadsheet.

  • Configurable tiers — 50, 100, 250, 500, 1,000 hours and service-year marks, or your own
  • Recently reached and closest to a milestone, right on the Reports page
  • A recognition report by year — your banquet list, ready to print

Questions coordinators actually ask

Is this part of our EMR?

No. VolunteerLedger is a separate companion to your EMR, not a module inside it. Your EMR keeps patient records, clinical documentation, and care plans; VolunteerLedger handles the volunteer program — hours, mileage, service areas, rosters, recognition, and board-ready reports. Patient-care volunteering stays in your EMR; everything else lives here.

Do we enter patient data?

Never — by design. VolunteerLedger is designed for volunteer program data, not patient charts. There are no patient fields, no visit records, and nowhere to link a volunteer hour to a patient. Free-text fields carry a visible reminder to never enter patient information. Keep patient care details in your existing systems; VolunteerLedger handles volunteer hours, service areas, reporting, and recognition.

Can I import from a spreadsheet?

Yes. Both volunteers and hour entries import from CSV, and the app provides a CSV template for each so you can map your existing spreadsheet quickly. You can be up and running the same day you sign up.

Can I export my data?

Yes, any time. Everything exports back out to CSV, and every report has print-ready output for grant applications, annual reports, and surveyors. Your agency owns its data — if your account ever lapses it becomes read-only, but nothing is deleted and you can still export.

What happens after the trial?

If you subscribe — pick Essential at $14.99/mo for one coordinator or Complete at $29.99/mo for your whole team — nothing changes; you just keep going. If you let the trial lapse, your account becomes read-only: you can still sign in, view records, and export your data. Nothing is deleted, and you can activate any time to pick up where you left off.

Which plan should I choose?

If one coordinator runs the program, Essential ($14.99/mo or $149.99/yr) gives that single user unlimited volunteers and hours, all reports with CSV export, milestone recognition, and CSV import/export. If you want your whole team in — multiple staff with admin, staff, and read-only roles, shared access, and scheduled email reports that send themselves — pick Complete ($29.99/mo or $299.99/yr). There are no per-volunteer fees either way.
